Duxbury Cemetery Commission Meeting Minutes

Meeting called to order at 5:00 p.m..

Present:  Stephanie Koonz, Greg Trulson, Kim Greenwood

Secretary’s Report
Minutes for the August, 2006 meeting were read and approved with minor changes.

Treasurer's report 
The treasurer’s report was read and approved.  “We run lean and mean”.  

Sprague Cemetery
According to Greg’s measurements, we need 12 x 20 feet or 54 linear feet of fence (subtracting out an opening for the entrance).  Fencing will cost approximately $200.  Each section is 13” high and 18” wide.  We will purchase and install next year.  Discussion ensued about a plaque:  wood or metal; will we make it or have it made.  No conclusion was reached except that the plaque must last indefinitely and that the cost should be included in the proposed 2007 annual budget.

New Business
The annual Vermont Cemetery Association Meeting was held on October 19, 2006 at the Barre Granite Association.  Greg chaired the meeting as the Vice President of the association.  The New England Cemetery Association would like the Duxbury Cemetery Commission to join.  The benefits were discussed.  The dues are $50 a year beginning in January 2007.  A motion was made by Greg to join the NECA with $50 annual dues.  The motion was seconded by Stephanie and passed unanimously.

Greg and Stephanie went to Phillips and cut all the branches and low hanging trees along the fence line for several hours and it looked very nice.  They reviewed where a memorial is going.  

Stephanie was contacted by several people regarding memorials.  They have since been installed.  She has requested an estimate by Dec. 1 for cleaning and repositioning of the memorials at Phillips and at Landon-Hayden.  

Budget:  A draft 2007 budget was presented.   The budget does not include an estimate for cleaning of the stones which we will receive by December 1, 2006 and add into the budget before it is submitted.

Annual Report:  draft 2007 annual report and financial statement were presented by Greg.  Changes were discussed and made.  

Annual Review of the Rules and Regulations and Policies and Procedures:  several changes were made to the Rules and Regulations to update them based on our evaluations of their effectiveness during the past year.

Next meeting
The next meeting will be held December 20, 2006 at 5:00 p.m..
